Income & Expense Management

The Income & Expense Management extension provides a powerful way to track financial performance for each vehicle listing. This extension allows you to add income and expense data directly to your listings, ensuring a clear and organized record of financial transactions. You can download all data as a CSV for external analysis or accounting purposes and visualize financial trends with interactive graphs.

Whether you're monitoring profitability or tracking operational costs, this extension helps streamline financial management for your dealership.

Requirements

Requirement Value
DMS version 1.0.0 or newer
License Standard or higher
Database Creates one custom table on activation

The extension creates a dms_listing_income_expense table the first time it runs, to hold individual income and expense line items. Purchase and sale figures are stored on the listing itself.

What gets tracked

Each listing carries three kinds of financial data:

Data What it covers Where it's entered
Purchase What you paid for the vehicle, from whom, when, taxes, and the invoice Purchase Data card
Sale What you sold it for, to whom, when, taxes, and the invoice Sale Data card
Income & expenses Everything in between — reconditioning, transport, detailing, parts, plus any income earned before sale Line items you add individually

Profit is the whole picture: sale price plus other income, minus purchase price and every expense, with taxes netted across both sides.

Where to work

  • Per listing — a meta box on the listing edit page. See Listing Data.
  • Across the type — an Income & Expenses page under each listing type's menu, with graphs, CSV export, and search. See Income & Expenses Page.

Purchase price and purchase date drive everything

A listing only appears in the graphs and totals once it has both a purchase price and a purchase date. Listings missing either are excluded from the reporting entirely — deliberately, since a cost with no date can't be placed on a timeline.

The Income & Expenses page surfaces those listings in an Incomplete Data panel so you can fill them in quickly.
